If the job you have been allocated to or the day you have been allocated on does not work for you, you must let Gene know as soon as possible, ideally now, and at least by the Wednesday before the event.
People more than one job at a single event are emphasised in bold.
Planning & Controlling

- Arrive as early as required to have courses set up on time.
- Approve set up of start and finish.
- Identify H&S issues and ensure H&S notices are displayed at event centre and/or added to starters instructions.
- Be free during the event to respond to issues if they arrise.
- Coordinate control collection.
Coodinator
See Guidelines for Event Planning for full job description, templates, and guidance on when to correspond with the planner and controller.
- Arrive 2 hours before first start time*.
- Take information from the planner and controller, such as event center layout map.
- Coordinate crew to get everything set up.
- Be a point of contant for crew members as they arrive.
- Be a friendly and supportive face for newer crew members.
Setup
- Begin set up 2 hours before first start time*.
- Set up tents, rego, power supply, results screens, bins and toilets.
- May require lifting and carrying.
- There will be plenty of time to compete.
Packup
- Remain at event after competing until controller initiates packup. This will be arround course closure time, or after prizegiving for rogaines.
- Get all the equipment back in the trailer.
- May require lifting and carrying.
- Check for litter.
Timing and event technology
- Event tech leader to arrive 1.5 hours before first start time*, others to arrive as arranged.
- Set up computers, SI and O-Lynx.
- Approve set up of anything tech and timing related.
- Arrange shifts on the download computer to allow time to compete.
- Pack up computers, SI and O-Lynx once controller indicates that event is over.
Parking
- On duty 1.5 hours before first start time*.
- Direct vehicles to park in the right place.
- The planner or controller will brief you, you do not need to know anything in advance.
- Finish when rego is quiet, there will be plenty of time to compete.
- Vehicles leave the event on their own accord.
Event registration
- On duty 1 hour before first start time*.
- Organise contents of rego tent ready for on-the-day entrants and enquiries.
- Handle cash from on-the-day entrants.
- Handle borrowing of SI cards and compasses.
- Arrange shifts to allow time to compete. Busyness will peak early in the day, possibly needing 5 attendants, then decreasing to just 1.
Coaching
- On duty 30 minutes before first start time*.
- Make yourself available to rego.
- Blank maps should be available.
- Finish when rego is quiet, there will be plenty of time to compete.
Start
- Start leader to arrive 1.5 hours before first start time*.
- Arrange the callup boxes and signage.
- Controller will work with start lead to ensure maps and control descriptions are in the correct place.
- Recieve starting instructions from planner or controller.
- Arrange shifts to allow time to compete.
- Not responsible for packing up start equipment, packup crew will do this.
Control collection
- Remain at event until controller initiates control collection, usually at course closure time** or once all competitors have finished.
- Controller will assign you a small group of controls to collect.
- A bag for carrying SI boxes and flags is reccommended.
- Return controls to event.
* First start times (unless otherwise communicated like in the case of major events with their own bulletins) are 10:00am for orienteering or 10:30am (briefing and map issue) for rogaines.
** Course closure times (unless otherwise communicated like in the case of major events with their own bulletins) are 2:00pm for orienteering and at 1:00pm for rogaines
